1. Who We Are

Dillon Marshall Property Consultants (“DMPC”) is a licensed property services provider (PSRA Licence 001314) acting as data controller for personal data of applicants, tenants, and service users.

 

2. What Information We Collect

– At enquiry/viewing stage: name, phone, email.
– At application stage: ID, employment/financial details, references, PPSN (where required for RTB).
– During tenancy: lease, rent/deposit payments, communications, maintenance records.

 

3. Why We Collect It (Legal Basis)

– Article 6(1)(b) Contract: To take steps at your request prior to and during tenancy.
– Article 6(1)(f) Legitimate Interests: To manage viewings, provide outcome briefs to landlords.
– Article 6(1)(c) Legal Obligation: To comply with the Residential Tenancies Act (RTB registrations).
– Consent: Only for optional marketing and extended retention of unsuccessful applications.

 

4. How We Use & Share Data

– Landlords receive outcome briefs only (not raw documents).
– RTB receives statutory particulars for tenancy registration (where DMPC acts as processor).
– No other third-party sharing unless required by law.

 

5. Retention

– Enquiry (no application): 90 days.
– Unsuccessful applications: 6 months (longer only with consent).
– Successful tenancies: duration of tenancy + legal/accounting requirements.
– RTB records: retained only for statutory/audit purposes.

 

6. Security Measures

TLS encryption, AES-256 storage, MFA, role-based access, restricted staff access, incident response plan.

 

7. Your Rights

You have the right to access, rectification, erasure, restriction, objection, and portability where applicable. You may lodge a complaint with the Data Protection Commission.
